A recorder should be mounted securely in a location that balances protection, service access and tamper resistance. In commercial vehicles, it must tolerate vibration, temperature variation and demanding daily use. Recording every camera continuously at the highest setting may sound attractive, but it can reduce the number of days retained. Operators need to communicate the purpose of the system, identify the lawful basis for processing footage, limit access to authorised personnel and set retention periods that reflect operational need. Signage and driver communications should be handled appropriately, particularly where internal or audio recording is involved.

The policy should also establish how footage is requested, downloaded, shared and deleted. This is not merely an administrative exercise. Controlled processes help protect the fleet, its drivers and the integrity of evidence. If an incident becomes a claim, complaint or enforcement matter, knowing who accessed footage and when can be as important as the recording itself.
